Scope

Overall leadership and coordination of the hackathon.

Time Commitment

Full-time

Scope

Convert a UT Austin facility into a safe, powered, and well-fed hackathon venue in 24 hours.

Responsibilities

  • Secure and confirm room blocks via SSB Reservations.
  • Develop floor plans (power, Wi-Fi, ADA compliance).
  • Coordinate catering, dietary accommodations, and service windows.
  • Oversee delivery and storage of swag, prizes, and signage.
  • Manage on-site volunteer shifts for set-up and tear-down.

Time Commitment

3–5 hrs/week (planning phase); 10 hrs (event week).

Lead

Scope

Secure the funding and in-kind donations required to keep the event free for participants.

Responsibilities

  • Build and maintain sponsor prospectus.
  • Draft and send cold-outreach emails; track responses.
  • Schedule pitch calls and negotiate agreements.
  • Ensure contractual benefits are fulfilled (logos, booth space, social posts).
  • Coordinate invoice collection and hand-off to the Finance Team.

Time Commitment

4–6 hrs/week (peak activity before winter break).

Scope

Drive applicant volume and public engagement.

Responsibilities

  • Build and execute a cross-platform content calendar (Instagram, LinkedIn).
  • Produce graphics, reels, and memes consistent with brand guidelines.
  • Pitch stories to campus media (Daily Texan, newsletters).
  • Monitor analytics.

Time Commitment

3–4 hrs/week; increases during campaign launches.

Scope

Expand Hook 'Em Hacks visibility through campus orgs, alumni, and partner networks.

Responsibilities

  • Coordinate outreach to student org listservs, newsletters, and Slack/GroupMe channels.
  • Schedule classroom pitches, tabling slots, and co-hosted info sessions.
  • Maintain a shared tracker of contacts, follow-ups, and outcomes.
  • Relay field feedback to Marketing and Sponsorship for campaign tweaks.

Time Commitment

2–3 hrs/week; 5 hrs/week during major application pushes.

Scope

Own all digital touch-points from landing page to project submission.

Responsibilities

  • Develop and deploy the hackathon website.
  • Build a registration system with wait-list and email automation.
  • Integrate Devpost project gallery and live submission dashboard.
  • Provide QR-based check-in and real-time head-count tools.

Time Commitment

5 hrs/week (initial build); 1 hr/week (maintenance).

Scope

Curate programming that maximizes hacker learning and enjoyment.

Responsibilities

  • Schedule beginner-friendly workshops (Git, APIs, UI/UX, pitch skills).
  • Recruit and schedule mentors for round-the-clock support.
  • Design mini-events (midnight cup-stack, scavenger hunt, quiet-room kits).
  • Collect post-event survey data.

Time Commitment

2–3 hrs/week; 8 hrs (event week).

Scope

Maintain fiscal accuracy and compliance.

Responsibilities

  • Own master budget spreadsheet and cash-flow projections.
  • Process reimbursements and maintain receipt ledger.
  • Obtain tax-exempt documentation from UT Austin and file any required paperwork.
  • Reconcile accounts and produce final P&L statements within 30 days post-event.

Time Commitment

1–2 hrs/week; 5 hrs during purchase spikes.

Scope

Establish and execute visual identity across all assets.

Responsibilities

  • Finalize logo, color palette, and typography.
  • Produce slide templates, social-media kits, and printable posters.
  • Create merchandise mock-ups (T-shirts, stickers) aligned with sponsor branding guidelines.

Time Commitment

2–3 hrs/week; increases before print deadlines.

Lead

Scope

Manage non-technical event staff.

Responsibilities

  • Build a four-shift volunteer schedule (check-in, meal service, trash rotation, judge ushering).
  • Recruit via GroupMe, org newsletters, and classroom announcements.
  • Conduct a 30-minute training session on Friday evening before doors open.
  • Maintain a back-up list for no-shows and real-time shift swaps.

Time Commitment

1 hr/week (until February); 8 hrs (event week).

General Expectations

  • Respond to communications within 24 hours during active project phases.
  • Attend weekly 30-minute stand-up (Thursdays 6 pm; remote link provided).
  • Document decisions and assets in the shared Google Drive immediately.
  • Uphold an inclusive, beginner-friendly culture in all interactions.
